Privacy Policy

PaddleOS provides booking, check-in, passes, and billing software to pickleball venues. This policy explains what we collect when you use PaddleOS or a venue's site and app that runs on it, how we use it, and the choices you have.

What we collect

We collect what you give us and what the service needs to run:

  • Account details: name, email address, and password (stored hashed by our authentication provider).
  • Mobile phone number, if you choose to receive text messages, and the record of when you verified it or opted out.
  • Booking, pass, waiver, and attendance records at the venues you play at.
  • Payment details are handled by Stripe. We keep the receipt and the last four digits of your card, not the full card number.
  • Messages you send through the app or a contact form.
  • Basic technical data such as device type and IP address, used for security and troubleshooting.

PaddleOS and your venue

Your venue decides what it needs from members and uses PaddleOS to collect it. PaddleOS stores that information on the venue’s behalf and uses it to run the service. Your venue may also have its own policies. Questions about a venue’s own use of your information go to that venue.

How we use it

We use your information to run your account, confirm and manage bookings, take payments, send the messages you have asked for, answer your questions, keep the service secure, and meet legal obligations.

We do not sell your personal information.

Text messages and your phone number

We text you only if you turn on text alerts in your notification settings and verify your mobile number. See how text messaging works for the full program details.

Your mobile number and your text messaging consent are never shared with third parties or affiliates for marketing or promotional purposes. We share your number only with the service providers that deliver our messages (for example, our SMS carrier), and only so they can deliver them.

Who we share information with

We share information with service providers that work on our behalf: hosting and database providers, payment processing, and email and SMS delivery. They may use it only to provide their service to us.

We may also disclose information when the law requires it, or to protect the safety and rights of members and staff.

Other members can see your name where a feature requires it, such as a session roster. They cannot see your email or phone number.

How long we keep it

We keep account and booking records while your account is open and as long as needed afterward for accounting, disputes, and legal requirements.

Your choices

You can update your name, phone number, and notification preferences in your profile. You can opt out of club emails with the unsubscribe link in any of them. Booking confirmations and receipts are transactional and still send.

To ask for a copy of your information or to have your account deleted, contact us at [email protected]. We may keep records we are legally required to keep.

Security

Access to member data is limited by role, and data is encrypted in transit. No system is perfectly secure, so we cannot guarantee absolute security.

Children

Accounts are for people 18 and older. A parent or guardian can book on behalf of a minor. We do not knowingly collect a child’s phone number for text messages.
